Plantum takes the protection of your personal data seriously. In this Privacy Policy, we aim to provide clear and transparent information about how we handle personal data.
We are doing everything we can to safeguard your privacy and therefore handle personal data with care. Plantum complies in all cases with applicable laws and regulations, including the General Data Protection Regulation. This entails, at a minimum, the following:
- your personal data will only be processed in accordance with the purpose for which it was provided; these purposes and the type of personal data are described in the Privacy Policy;
- the processing of your personal data is strictly limited to those data that are necessary for the purposes for which they are processed;
- we will ask for your explicit consent if we require it for the processing of your personal data;
- we have taken appropriate technical and organizational measures to ensure the security of your personal data;
- we do not pass on personal data to other parties, unless this is necessary for the purposes for which it was provided;
- we are aware of your rights regarding your personal data, we wish to draw your attention to these and we will respect them.

Processing of personal data of association members
Plantum processes the personal data of its members of Plantum for the following purposes:
- administrative purposes;
- communication with members;
- the performance of the membership agreement.
The legal basis for the processing of this personal data is the membership agreement.
To achieve the above objectives, Plantum may ask you for the following personal data:
- first name;
- surname;
- address details;
- (business) telephone number;
- (business) email address;
- relevant profile information.
Plantum will store your personal data for the purposes of the processing operations mentioned above for the duration of your membership and, thereafter, solely in its (financial) records in accordance with legal requirements. Your first name and surname will not be removed from the minutes or attendance lists for meetings you attended.
Processing of suppliers’ personal data
Plantum processes suppliers’ personal data for the following purpose(s):
- administrative purposes;
- communication regarding an order;
- the performance of a contract.
The legal basis for processing this personal data is the agreed assignment.
For the above purposes, Plantum may request the following personal data from you:
- name;
- surname;
- address details;
- (business) telephone number;
- (business) email address;
- relevant profile information.
Your personal data will be stored by Plantum for the purposes of the aforementioned process(es) for the duration of an agreement and thereafter only in the financial records in accordance with legal requirements.
Processing of personal data of newsletter subscribers
Plantum processes the personal data of newsletter subscribers for the purpose of informing them via newsletters and notifications.
The legal basis for processing this personal data is an explicit request from the recipient.
For this purpose, Plantum may ask you for the following personal data:
- first name;
- surname;
- (business) email address.
Your personal data will be stored by Plantum for the purposes of the aforementioned processing for the period during which you are subscribed to the newsletter and/or the website.
Processing of personal data of stakeholders, lobbying contacts or interested parties
Plantum processes the personal data of stakeholders, lobbying contacts or interested parties for the purpose of providing information (digitally and on paper) and/or making targeted contact.
The basis for processing this personal data is verbal consent, the provision of a business card and/or via a connection on LinkedIn or any other online platform and/or email contact.
For the above purpose, Plantum may request the following personal data from you:
- first name;
- surname;
- address details;
- (business) telephone number;
- (business) email address;
- relevant profile information.
Plantum will store your personal data for the purposes of the processing operations described above for the period during which you are considered a stakeholder, lobby contact and/or interested party.
Disclosure to third parties
We may disclose the data you provide to us to third parties if this is necessary for the purposes described above.
For example, we use a third party for:
- maintaining the IT systems and the internet environment;
- managing the (financial) administration.
We never pass on personal data to other parties with whom we have not concluded a data processing agreement. We naturally make the necessary arrangements with these parties (processors) to guarantee the security of your personal data. Furthermore, we will not disclose the data you have provided to other parties, unless this is legally required and permitted. An example of this is where the police request (personal) data from us in the context of an investigation. In such case, we are required to cooperate and are therefore obliged to provide this data. We may also share personal data with third parties if you give us your written consent to do so.
Within the EU
We do not disclose personal data to parties located outside the EU.
Minors
We process personal data of minors (persons under the age of 16) only if written consent has been given by a parent, guardian or legal representative.
Retention period
Plantum does not retain personal data for longer than is necessary for the purpose for which it was provided or as required by law.
Security
We have implemented appropriate technical and organizational measures to protect your personal data against unlawful processing; for example, we have taken the following measures:
- all persons who may access your data on behalf of Plantum are bound by a duty of confidentiality;
- we operate a username and password policy on all our systems;
- we anonymize and ensure the encryption of personal data where necessary;
- we make backups of personal data solely for the purpose of restoring it in the event of physical or technical incidents;
- we regularly test and evaluate our measures;
- our employees have been informed of the importance of protecting personal data.
Rights regarding your data
You have the right to access, rectify or erase the personal data we have received from you. You may also object to the processing of your personal data (or part thereof) by us or by one of our processors.
In addition, you have the right to request that we transfer the data you have provided to you, or, at your request, directly to another party. We may ask you to verify your identity before we can comply with the aforementioned requests.
If we process your personal data on the basis of consent you have given, you always have the right to withdraw that consent.
Complaints
If you have a complaint regarding the processing of your personal data, please contact us directly. We would, of course, be very sorry if we were unable to resolve the matter with you. You always have the right to lodge a complaint with the Dutch Data Protection Authority, which is the supervisory authority for data protection.
