Plantum attaches great importance to the protection of your personal data. This Privacy Policy provides clear and transparent information about how we process personal data.

We do everything we can to guarantee your privacy and therefore process personal data with care. Plantum complies in all cases with the applicable laws and regulations, including the General Data Protection Regulation. This in any case means that:

  • your personal data will be processed in accordance with the purpose for which it was provided; these purposes and types of personal data are described in the Privacy policy;
  • processing of your personal data is limited to only the data that is required as a minimum for the purposes for which it is processed;
  • we ask for your explicit consent if we need it to process your personal data;
  • we have taken appropriate technical and organisational measures to ensure the security of your personal data;
  • we do not pass on personal data to other parties unless this is necessary for the implementation of the purposes for which they were provided;
  • we are aware of your rights regarding your personal data, we want to point this out to you and we will respect them.

Plantum is responsible for the processing of your personal data. If after reading our Privacy Policy, or in a more general sense, you have any questions or wish to contact us, you can do so via the contact details at the bottom of this document.

Processing of personal data of association members
Plantum processes personal data of association members for the following purpose(s):

  • administrative purposes;
  • communication with members;
  • implementing the membership agreement.

The basis for this personal data is the membership agreement.

For the above objectives, Plantum may request the following personal data from you:

  • name;
  • address details;
  • telephone number;
  • email address;
  • relevant profile information.

Plantum retains your personal data for the aforementioned processing during the term of membership and thereafter only in the (financial) administration on the basis on statutory requirements.

Processing of personal data of suppliers
Plantum processes personal data of suppliers for the following purpose(s):

  • administrative purposes;
  • communication about an assignment;
  • implementing or issuing an assignment.

The basis for this personal data is the agreed assignment.

For the above objectives, Plantum may request the following personal data from you:

  • name;
  • address details;
  • telephone number;
  • email address;
  • relevant profile information.

Plantum retains your personal data for the aforementioned processing during the term of an agreement and thereafter only in the financial administration on the basis on statutory requirements.

Processing of personal data of newsletter subscribers
Plantum processes personal data of newsletter subscribers for the purpose of informing the person by means of news items and alerts.

The basis for this personal data is an explicit request from the recipient.

For this objective, Plantum may request the following personal data from you:

  • name;
  • email address.

Plantum retains your personal data for the aforementioned processing for the period during which you subscribe to the newsletter and/or register for the website.

Processing personal data of prospects, stakeholders, lobby contacts or interested parties
Plantum processes personal data of prospects, stakeholders, lobby contacts or interested parties for the purpose of providing information (digital and paper) and/or targeted contacts.

The basis for this personal data is verbal consent, issue of a business card and/or via a link on LinkedIn or another Internet medium and/or email contact.

For the above objective, Plantum may request the following personal data from you:

  • name;
  • address details;
  • telephone number;
  • email address.

Plantum retains your personal data for the aforementioned processing for the period during which you are considered a prospect, stakeholder/lobby contact and/or interested party.

Disclosure to third parties
We may disclose the information you provide to us to third parties if this is necessary for the implementation of the purposes described above.

For instance, we use a third party for:

  • taking care of the IT systems and the Internet environment;
  • taking care of the (financial) administration.

We never disclose personal data to other parties with whom we have not concluded a processing agreement. We naturally make the necessary agreements with these parties (processors) to ensure the security of your personal data. Furthermore, we will not disclose the information you provide to other parties, unless this is required and permitted by law. One example is the police requesting (personal) data from us in the context of an investigation. In such a case, we must cooperate and are therefore obliged to provide this information. We may also share personal data with third parties if you give us written permission to do so.

Within the EU
We do not disclose personal data to parties located outside the EU.

Minors
We only process personal data of minors (persons under the age of 16) if written consent has been given by the parent, guardian or legal representative.

Retention period
Plantum does not retain personal data longer than necessary for the purpose for which it was provided or is required by law.

Security
We have taken appropriate technical and organisational measures to protect your personal data against unlawful processing. For instance, we have taken the following measures:

  • all persons who can access your data on behalf of Plantum are obliged to maintain confidentiality.
  • we have a username and password policy on all our systems;
  • we anonymise and ensure the encryption of personal data if there is reason to do so;
  • we make backups of the personal data in order to be able to restore it in the event of physical or technical incidents;
  • we regularly test and evaluate our measures;
  • our employees are informed about the importance of protecting personal data.

Rights regarding your data
You have the right to inspect, rectify or delete the personal data we have received from you. You can also object to the processing of your personal data (or part thereof) by us or by one of our processors. You also have the right to have us transfer the data you provide to yourself or directly to another party on your behalf. We may ask you to identify yourself before we can respond to the aforementioned requests.

If we process your personal data on the basis of consent you have given, you always have the right to withdraw this consent.

Complaints
If you have a complaint about the processing of your personal data, please contact us directly. If we cannot reach an agreement with you, we do of course regret this. You always have the right to file a complaint with the Dutch Data Protection Authority, which is the supervisory authority in the field of privacy protection.
